Invoice and Payments Workflow
Maple automates the invoice creation and payment tracking process for recurring subscription or one-time charges. Invoices typically include the product or service purchased, the price, any applicable taxes or fees, and payment terms. Invoices are used to track sales, ensure payment, and provide documentation for accounting purposes.
Maple also tracks the payment status of each invoice, providing real-time visibility into payment history and outstanding balances. If a payment is missed, Maple can automatically send payment reminders to the customer, reducing the need for manual follow-up.
Maple invoices can be accessed from the web application or the API.
Lifecycle
Maple invoices start in PENDING status and then transition to PAID status on successful complete payment. When subscriptions are paused, invoices can be generated in VOID status or DRAFT status for credits and adjustments to be made later. If an invoice is overdue, it will be in the OVERDUE status until payment is received. Invoices may be paid but are being processed; this is when they will go into the PAYMENT PROCESSING status.
Grace Period
Maple enables customization of the time window in which invoices are finalized after the billing period. This is particularly for usage-based billing, where there might be a lag in events being pushed to Maple.
Sending Invoices
By default, invoices are sent manually for payment upon creation. You can also enable automatic sending, which emails the invoice to the customer as soon as it’s created.

One-Off Invoices
Charging for add-ons outside of the plan (one-time payments) – for example, setup fees, training sessions, or additional usage not covered by the customer’s plan.
Correcting billing errors – to fix undercharges, missed line items, or other discrepancies from prior invoices.
End-of-contract true-ups – to reconcile final charges or adjustments at the end of a customer’s subscription term.
Reversing issued credits – when credits were previously applied to an account but now need to be charged back.
